Please note that ALL members need to adhere to these General Terms and Conditions as well as their membership specific terms and conditions when making use of the office space and facilities supplied by The Corner Office. All members are also responsible for ensuring that their guests, employees, clients or invitees adhere to these terms and conditions.
Executive Members
Office usage:
No desks, shelving units or wall hangings are to be fixed to the walls without prior consent from The Corner Office management.
Keys to specific offices will be provided for members and their team as per the office allocation.
Executive Members and additional co-workers are expected to work in their executive space and not in the open and hot desk areas. If there is a need to work in the hot desk area, this will be charged at a discounted members’ rate.
Private office space must be restored to its original state during the notice period, prior to termination of membership. Any damage to the walls, floors, windows, doors, locks, keys, glass, furniture or electrical switches and connections other than fair wear and tear, is to be repaired at the expense of the member on vacating the space.
Signage and branding:
Company name will be added to front wall in plain text, and company name/logo will be applied to/next to the member’s office door by The Corner Office team.
Logo must be provided to The Corner Office in a vector format (eg. svg, ai, editable pdf) by the member. If this is not available, the member should provide the highest resolution version possible of their logo so that it can be redrawn for production use. Once redrawn the member will be sent a proof for approval prior to production. Please note that this will extend the lead time on signage application.
Signage for the front wall and door, will be ordered and applied at the same time.
Membership terms are not affected by any delays related to signage for whatever reason.
Early Cancellation: Should a member terminate their membership prior to the initial 12 months, the cost of the signage and design time (if the logo required redrawing) will be deducted from the deposit.
Boardroom usage:
This package entitles members to 8 hours of complimentary boardroom use per month in Boardroom 2. Alternatively this can be used as 4 hours in Boardroom 1.
This membership entitles members to 2 included hours per day Zoom Room usage, with a maximum of 10 hours per month.
Additional hours over and above the included allocation are billed at the reduced member’s rate.
Booking is essential.
The allocated hours for the use of the boardroom do not accrue from month to month.
Fees:
Your first month’s membership fees are due in advance by the 25th of the month prior to the commencement of your contract.
There will be an annual price increase in March of each year, the amount of such increase shall be dependent on escalation of running costs and market influences.
Additional charges incurred throughout the month will be billed in arrears (eg. additional boardroom hours, printing etc).
Non-Payment: Should a member fail to make payment by the due date, The Corner Office reserves the right to suspend access until payment is received. Continued non-payment may result in termination of membership following written notice.
Deposit:
A refundable deposit to the value of the monthly payment of your contract is required, to secure your membership.
This deposit will be refunded, free of interest - less any outstanding moneys due at the close of your contract
This deposit may not be used in lieu of your final month’s membership
Any cost incurred in order to repair damages over and above acceptable wear and tear will be deducted from this deposit. This will be decided at the sole discretion of management.

In the case of early termination, the cost of signage will be deducted from the deposit as per clause 5 above.
Business Address Usage
Use of The Corner Office address for business registration, marketing, correspondence, or regulatory purposes is permitted only to Members in good standing whose Membership Agreement expressly includes this benefit.
Upon termination, cancellation, expiry, or suspension of Membership:
The Member must immediately cease all use of The Corner Office address.
The Member must update all regulatory, company registration, banking, marketing, and digital records within fourteen (14) calendar days.
No further mail or parcels will be accepted after termination.
The Corner Office reserves the right to:
Return mail to sender marked “No Longer at This Address”
Notify relevant authorities or third parties if misuse continues.
Continue to bill for a Virtual Membership until such a time as the address is no longer in use.
Continued use of the address after termination constitutes unauthorised representation and may result in legal action and recovery of associated costs.
Renewal & Cancellation
Upon expiry of the fixed term, unless the Member expressly renews for a further fixed term, the Agreement shall automatically continue on a month-to-month basis, subject to the prevailing membership rates and terms.
In accordance with the Consumer Protection Act, a Member may cancel a fixed-term Membership Agreement prior to its expiry by providing one calendar month’s written notice to Management. Upon early cancellation, the Member shall be liable for a reasonable cancellation fee, calculated as 20% of the remaining value of the Membership Agreement.
Either party may terminate the month-to-month agreement on two calendar month’s written notice.
Should a member terminate their membership prior to the initial 12 months, the cost of the signage and design time (if the logo required redrawing) will be deducted from the deposit.
Non-Payment: Should a member fail to make payment by the due date, The Corner Office reserves the right to suspend access until payment is received. Continued non-payment may result in termination of membership following written notice.
Breach of Agreement: The Corner Office reserves the right to terminate membership immediately in cases of serious or repeated breach of these Terms and Conditions, including but not limited to misconduct, damage to property, illegal activity, or behaviour that negatively impacts other members.
Add-on VoIP Phone Service
Add-on Features:
One dedicated telephone number (eg. 031 xxx xxxx)
One primary cell phone extension (eg. 101)
Voicemail messages emailed to you as a voice note by the system
24 hour voicemail retrieval
All calls are recorded and backed up - can be provided on request
This add-on will piggyback onto any current membership and will renew or terminate on the same date as the current membership package.
Fees:
Initial VoIP Phone fees are due on signature and acceptance of this package.
Monthly VoIP Phone fees are due with the current membership fees in advance on the 25th day of each month.
Outgoing calls are charged at cost to us plus 20%.
Additional cell phone extensions (with the same number) can be added for an additional cost per extension per month.
A once-off set up fee of is charged on initial sign up and this covers the configuration of your phone system and is non-refundable.
Before set up the configuration of calls shall be discussed agreed.
For example: Calls can be made directly to the Virtual Member, then revert to reception if unanswered OR calls can be made directly to reception and are forwarded through to the Virtual Member. Temporary telephone numbers will be provided while the Virtual Member’s telephone number is in the process of being imported.

Renewal & Cancellation
This add-on runs concurrently with your existing membership if a current membership with The Corner Office is terminated -
to keep the phone service, you can move to a Virtual Membership.

Liability of the Corner Office
The Corner Office will not be liable for any loss or damage from any cause arising, which a member, its guests, employees, clients or invitees may sustain arising out of its membership or use of the facilities provided by The Corner Office.
By accepting these terms and conditions, the member hereby indemnifies and holds The Corner Office and its employees harmless against any loss or damage from any cause arising, which a member, its guests, employees, clients or invitees may sustain arising out of its membership or use of the facilities provided by The Corner Office.

DESK PROTOCOLS
It is the responsibility of each member to return the desk they are using, particularly in the Open Space, to the original state in which it was found, when that member leaves at the end of each day.
Desks in the Open Space should not be personalised and need to be kept uncluttered.
It is accepted that Light Members who work regularly at The Corner Office tend to gravitate to the same desk, should it be available. However, there can be no gazumping of occupied hot desks, when vacated for a short period.
Hot desks can be reserved with The Corner Office Team.
If members leave their desks for a short while, they need to lock/log out of their computers/laptops to protect their own security.
All laptops need to be taken home or locked away when members leave the office at the end of each day.
Lockers are available add-on to your membership, please enquire should you have use for one.
The Corner Office reserves the right to change / upgrade the desks and the configuration of the desks when required.
NOISE
Open-plan offices can be noisy and members are expected to behave in a manner that minimises this.
Conversations, either on the phone or in person must be kept to a reasonable noise level.
Be considerate over the use of cell phones, particularly for incoming calls where loud, unusual or annoying ring tones are used. Personal cell phones need to be on silent or vibrate. Do not leave cell phones unattended.
Respect the personal space of other members.
Use designated quiet space where available for confidential conversations.
HOUSEKEEPING
There is a kitchen equipped with a fridge, kettle, microwave, snackwich maker and regular cutlery and crockery for the use of members.
Tea, instant and filtered coffee is freely available.
Eating at desks should be kept to a minimum and, when eating there, care should be taken to prevent debris accumulating on the desk and its surroundings.
While there is an office staff member who will be cleaning and tidying, all dirty dishes need to be returned to the kitchen and if the staff member has left for the day the relevant member should wash up and clear away crockery, utensils and kitchen dishes to prevent the kitchen becoming an unpleasant place to visit.
VISITORS, CASUAL MEETINGS & COMMUNAL AREAS
Visitors
You may host 1 visitor for up to 1 hour in a communal area
A boardroom must be booked for larger groups and/or longer durations.
When receiving visitors please be respectful of other people in the office (see noise guidelines), especially shared communal spaces where fair use is expected.
Ensure that visitors are accompanied at all times.

ACCESSING THE INTERNET
A membership, pass or booking entitles those persons to access high speed internet through our secure wireless network based on a fair use policy.
Our network administrator reserves the right to limit excessive or unusual use of the internet, to prevent the other members being affected negatively.
Torrents and any sites of a lewd or illegal nature are prohibited.
Members are supplied with a WIFI code for their use only.
USING THE OFFICE PRINTING FACILITY
There is an A4 colour office printer which is on the wireless network. Printing is based on an honesty policy so please log your prints with Reception or email admin@thecorneroffice.co.za
Only Executive Members can have their own printer in their offices .
Printing costs are allocated on a monthly basis and charged to your account in arrears at a market related rate.
Scanning to email is at no charge.
QUERIES & REQUESTS
Members need to liaise with The Corner Office team if there is anything they need to clarify, or if there is any added service they would like The Corner Office to provide.
ACKNOWLEDGEMENT & PAYMENT
By ticking the terms and conditions section of your application, the proposed member confirms that The Corner Office terms and conditions have been read and accepted by an authorised signatory of the applicant member.
If payment is not made timeously The Corner Office reserves the right to suspend access to The Corner Office, its facilities and the benefits of membership until such time as all arrears amounts have been paid.
All amounts payable by you to The Corner Office shall be paid without deduction or set-off of any nature whatsoever (including bank charges).
BOARDROOM/EVENT ROOM ALLOCATION & USAGE
The Boardrooms must be booked and the hours logged in advance with the management of The Corner Office.
The onus is on the members to ensure that their booking request has been received and confirmed.
Bookings in Boardroom 3 (Zoom Room) are free, subject to availability and a fair use policy of two hours per day.
If a meeting is longer than the booking period, it must be logged with The Corner Office team and the member’s account will be charged accordingly.
Extended or unbooked use of the Boardrooms that are not logged with The Corner Office Team, will be charged on estimate.
If a meeting runs over time and into another booking, the room must be vacated immediately according to the booking schedule.
It is the member’s responsibility to clear the boardroom after use and all cutlery and crockery must be returned to the kitchen, making the room ready for the next meeting.
All members are entitled to a members discount off retail rates for the Boardrooms and day passes.
All bookings include tea and coffee, as well as high speed WIFI, a professional environment and presentation equipment.
SECURITY
Members phone numbers are added to the front gate to allow them access controlled entrance to the property.
Members should make sure that they do not allow any unauthorised persons in or out when they enter or exit the property (eg. tail gating or walk ins)
The working hours of The Corner Office are: 07h30 to 17h00 Monday to Friday, excluding public holidays.
After Hours Access
If there is a need to work outside the working hours, arrangements need to be made with The Corner Office team and the security company to ensure security is maintained and the office is alarmed when vacated.
After-hours access may only be granted to Executive or Premium Members who are on a 12 month contract. An indemnity form must be signed.
WORKSPACES
Membership fees are due on acceptance of the package and receipt of the membership contract.
If the VoIP add on service for membership is used, set up procedures will be put into motion only on payment of a set up fee plus the first month’s membership fee.
Membership entitles members to enter The Corner Office as per the terms of their contract during office hours (07h30 to 17h00, Monday to Friday). The Corner Office is closed on Saturdays, Sundays and Public Holidays.
Members will be allocated a workspace or an office for the use of the member or its employees for the duration of the membership period, subject to the relevant membership package.
All workspaces are equipped with power.
The Corner Office reserves the right to conduct credit checks on members when required.
The Corner Office is not responsible for personal effects which include, but are not limited to, laptops, monitors, cell phones and desktop computers.
While every effort is taken to maintain a secure office by providing access control, a monitored alarm system and an armed response, the Corner Office is not responsible for the safety, security or insurance of personal effects.
